How to Use Address Redaction on Tasks

All users => This article covers a privacy safeguard that hides certain recipients' postal details from a task.

Your organisation can turn on address redaction for certain recipients.

  • When active, a Patient or Next of Kin's address is hidden on the task.

  • Their name still displays as normal.

This stops one recipient's address from reaching another recipient or organisation.

Your organisation decides whether this applies, and to which recipient types. Contact your admin for details what's active for your facility.

Standard recipient workflow

Normally, you add a Primary or Cc recipient in one of two ways:

  • Select them from the address book.
  • Add them manually.

Their full name and postal address then display in the recipient area. This applies to every recipient type, including Patients and Next of Kin.

Recipient workflow with active redaction

  • The recipient's title, first name, and last name still display in the Primary or Cc recipient area.
  • Their postal address does not display there.
  • This applies whether the recipient was added from the address book or entered manually.

Other recipient types (for example a doctor or facility) aren't affected - their full address continues to display as normal.

Cover page

The cover page for a task always keeps the full address. This applies even when the address is redacted in the letter itself.

=> a Patient or Next of Kin can still be sent their letter by post.

Your organisation can set cover pages to print automatically for redacted recipients.

=> if this is on, a cover page is added automatically for any redacted recipient. You won't need to write their address separately on an envelope.

Information icon

While searching for a recipient to add to a task, an information icon is shown next to the address of anyone whose address will be redacted.

=> hover over the icon to see the message Address redacted on task. You see this information before you select the recipient.

Adding a recipient manually

You can add a recipient using discrete name and address fields. A Redact address toggle is available in the recipient details.

  • The toggle is switched on by default.
  • A manually entered address is hidden unless you turn it off.
  • Turn it off if the recipient type doesn't need its address hidden.

=> if your organisation has locked this setting, the toggle can't be changed.

You can also add a recipient as free text. Use the Add Free Text Recipient button (previously labelled Add Manually).

This adds a single text box, not separate name and address fields. Because of this, T-Pro can't redact just the address from that text. A note is shown above the box:

Please note: Any text entered here will be displayed on the task. As this may include an address, please ensure you are adhering to legal and policy requirements.

=> if you do not see the Add Free Text Recipient button, your organisation has disabled free text entry. Select a recipient from the address book instead, or add one using the discrete fields.
