Copilot - A Guide to Microphone Usage

When working with Copilot a high-quality audio input is essential for accurate documentation during your consultations.


Devices

Whenever possible, use a good-quality external microphone. For consultations involving both clinician and patient, multi-speaker conference microphones are highly recommended. They help ensure that both parties are captured clearly and consistently.

Suggested microphones:

  • Tonor G11 Conference Microphone
  • Fyvadio Conference USB Microphone

If no external microphone is available, we recommend using the T-Pro Copilot mobile app for iOS (Note: Currently iOS only.)

We do not recommend using built-in laptop microphones or webcam microphones as they are often of relative low quality and pick up excessive background noise reducing accuracy.


Location

Microphone placement plays a crucial role in sound quality. A poorly positioned mic can lead to muffled audio or missed speech.

For best results:

  • Place the microphone roughly midway between you and the patient.

  • Make sure it has a clear line of sight to both speakers — don’t cover or obstruct it with papers, laptops, or equipment.

  • Use a stable surface to prevent vibrations and bumps from distorting the audio.

Positioning it properly once at the start and leaving it in place for the entire consultation helps maintain consistent audio for AI transcription.

Background Noise

Minimising background noise is another factor to ensuring a clean audio capture. Check your acoustic environment.

  • Mute or reduce nearby equipment that creates ongoing sounds (like fans, alarms, or buzzing monitors).

  • Avoid placing the microphone near noise sources, such as open windows, corridors, or loud ventilation.

  • In particularly noisy settings, move the microphone closer to both speakers and speak clearly and at a moderate pace.

Microphone Setup

The below steps are for the recommended Google Chrome browser.

When using Copilot for the first time you need to grant the application access to your microphone; you will be prompted to do so by the browser.

Select Allow while visiting the site (or Allow on every visit).

  1. Microphone selection

    • In the above window you can see that 2 microphones are available.

    • Click into the field to view the other option(s).

      => Select the external / conference microphone from the dropdown list.

      Your selection will be kept for each consulting or dictation until you change e.g. remove the external mic

       

  2. View  the microphone selection

    • Click on the Settings icon of your browser at the beginning of the search bar to look up your microphone settings.

    • In the menu, expand the Microphone section using the arrow.

    • In the next screen you can view which microphone is set up for use, or you can select a different one.

    • You can also view the permission you have given (Allow on every visit);
    • and you get a visible feedback if you test your mic.

  1. Do a quick sound check:

    • Say a few words and watch the sound wave graphic on screen.

    • If it moves with your speech, you’re all set.

    • Close the menu — you're ready to go.

  2. Tip: Don’t move the microphone mid-session — keeping it in the same position improves consistency and accuracy.
